The Lutheran World Federation/DWS is an international
humanitarian and development agency in South Sudan since 1998. Currently, LWF
is operating in Jonglei, Upper Nile States and Unity State. LWF South Sudan
seeks to recruit suitable candidate for the Upper Nile following position. The
selected candidate will be based in Juba.

Duties and
Responsibilities
Under the guidance and direction of the HR/Admin Coordinator
for Juba, The Admin Assistant substantially contributes to the effective
management of LWF Administration and Reception efficiency and effectiveness.
Specific task:
- Represent the organization as she is the first focal person the visitor’s meet.
- Management of the front office at all time.
- Prepare and file timely minutes of staff meetings and participate in other tasks that involve collecting and structuring data, such as forms from seminars, meetings and workshops.
- Ensure all relevant project/programme documents filed in hard copy and soft copy (by scanning).
- Ensure that all received contractually and legal documents are handed to the /HR/Admin/Logistic Office.
- Records and supervise incoming and outgoing ordinary mail
- In cooperation with HR/Admin, procurement and logistics staff, Responsible for all hotel bookings and flight reservations and other logistics for travel and visits.
- Arrange representation, meetings, workshops, both in-house and with external participants.
- Supervises the cleaner based on her assigned duties.
- Received record and sort the applications.
- Any other duty assigned by the supervisor.
Minimum
Qualification and Personal Specification:
- Certificate in Administration or Management or related studies.
- Experience working in Administration or related area.Good in prioritizing and structuring work in a busy environment.
- Experienced with working with Windows, incl. Word, Excel and Power Points
- Good interpersonal skills and ability to interact effectively with staff.
LWF is a humanitarian non-governmental organization. Due to
the unique nature of relief activities, the exact duties of the employee and
the working schedule may be subject to temporary variations. All employees are
requested to demonstrate flexibility.
